Every agency has had the conversation. A client swears they never approved the second round of ad spend. You are certain they did, because you remember the WhatsApp message, except it is buried in a thread from six weeks ago and nobody can find it. Multiply that by every client, every project, every “I thought you said” and “I thought we agreed”, and you can see why so many agency owners end up dreading their own inbox.
We moved our client management onto LaunchBay just over a year ago and it has quietly become the piece of software we would find hardest to give up. Not because it does anything flashy. Because it removes the argument entirely.
Disclosure. We are a LaunchBay affiliate. If you sign up through a link on this page we earn a commission, at no extra cost to you. We run our own client accounts on it and would be writing this either way.
What LaunchBay Actually Is
LaunchBay is a client portal and project management platform built specifically for agencies that work with clients, rather than internal teams working on their own product. Onboarding forms, project stages, tasks, files, approvals and client communication all live in one place, and every client gets their own branded login rather than a shared Google Drive folder and a hopeful email chain.
That distinction matters more than it sounds. Most project management tools are built for teams talking to each other. LaunchBay is built for a team talking to a client, which is a completely different problem, because the client did not choose the tool, does not want to learn it, and will judge your whole agency by how easy it is to use.
The Accountability Problem It Actually Solves
This is the reason we bought it, and it is the reason we are writing about it first rather than the branding.
Every approval inside LaunchBay is timestamped. When a client signs off on a design, approves a budget, or confirms a go-live date, that action sits on the record with a date and a name attached to it. There is a live activity feed on every project showing exactly who did what and when. So when a client comes back three weeks later and says they never agreed to something, you are not relying on your memory of a phone call. You point to the timestamp.
The same goes the other way. If your team missed a deadline or forgot to send something, the activity feed shows that too. That honesty cuts both ways, which is exactly why it works. A tool that only protected the agency would be a hard sell to a client. One that gives both sides a fair, dated record of what actually happened builds trust instead of suspicion.
LaunchBay also scores project health and flags anything at risk automatically, so a stalled project surfaces before the client notices it has gone quiet. For an agency running a dozen accounts at once, that alone has saved us from a few awkward “sorry, we lost track of this” emails.
White Labelling: Your Brand, Not LaunchBay’s
Clients should never feel like they have been handed off to a piece of third-party software. On LaunchBay’s Standard and Premium plans, the portal carries your logo, your colours and your company name rather than LaunchBay’s. Premium goes further with a fully custom domain and removes the “Powered by LaunchBay” line entirely, so a client logging in sees nothing but your agency.
For a small agency this is worth more than it costs. A client who logs into “yourname.com/portal” trusts you more than one redirected to some software vendor’s domain, and it makes a two-person outfit look like it runs on proper infrastructure.
Client Login, Any Time, No Password Faff
Clients log in through magic links, so there is no password to forget and no account to set up. A client clicks the link in a notification email and lands straight in their branded portal, day or night, whether that is a Tuesday afternoon or half ten on a Sunday when they suddenly remember they wanted to check on something.
It sounds like a small thing until you consider who actually uses these portals. Not every client is comfortable with software. Removing the password step removes the single biggest reason a client stops checking in and goes back to emailing you instead.
Messaging and File Uploads, Not Six Different Inboxes
Client communication in LaunchBay happens inside the project itself. Clients can comment directly on a task, annotate a design, or leave feedback on a specific deliverable rather than sending a vague “can we change the colour” email that nobody can trace back to which file it was about.
File handling works the same way. Clients upload brand assets, hosting logins, content and creative briefs straight into the project, so you are not chasing a Dropbox link that expired or a logo file buried three replies deep in someone’s inbox. Everything the project needs sits in one place, attached to the task it belongs to, before the work even starts.
Team Levels: Built for an Agency That Grows
You can bring people onto a project at different levels of access rather than giving every hire the keys to everything. An admin sees the whole agency. A collaborator works inside the projects they are assigned to. A client only ever sees their own portal, and you can even add someone as a guest with limited access for a one-off contractor or a client’s outside supplier who needs to drop in on a single task without seeing anything else.
If you are starting an agency with two of you and a freelancer, this matters more than it seems like it should. You want the freelancer looking at the one project you hired them for, not every client’s invoices and every other account’s private notes. Get that wrong once and it is an uncomfortable conversation.
Pricing: What You Actually Pay For
LaunchBay prices per team member per month, not per client, so a growing client list does not push your bill up on its own, only a growing team does. There are three tiers.
| Plan | Price | What you get |
|---|---|---|
| Essentials | From $19/month per team member (billed annually) | Branded portal subdomain, unlimited projects and clients, magic link login, intake forms, invoicing, digital contracts. |
| Standard | From $49/month per team member (billed annually) | Everything in Essentials, plus automations, Zapier and Slack, Calendly, client requests, recurring tasks, reporting. |
| Premium | From $69/month per team member (billed annually), minimum 3 team members | Everything in Standard, plus full white-label custom domain, password-protected portals, HubSpot, and the AI tools. |
Worth knowing before you commit: Premium’s three-seat minimum means a solo founder cannot get the full white-label experience without paying for team seats they are not using yet. If it is just you for now, Standard gets you most of what matters and you can move up once you hire.
The other honest gap: integrations currently run through Zapier rather than native connections to most tools, and if your workflow depends on documents your client can edit collaboratively rather than just comment on, LaunchBay does not do that yet. Neither is a dealbreaker for us, but check both against how your agency actually works before you switch.
Who This Is Really For
If you are starting a marketing agency right now, the temptation is to run everything through a shared spreadsheet and a WhatsApp group because it is free and it works for the first three clients. It stops working around client four or five, exactly when you can least afford the chaos, because that is also when you are trying to hire your first freelancer and prove to a bigger prospect that you run a proper operation.
LaunchBay is built for that exact stage. It gives a one or two person agency the same client-facing polish as a firm ten times the size, without the enterprise price tag or the months of setup. The accountability trail alone is worth it the first time a client dispute gets settled by a timestamp instead of an argument.

Our Verdict
We did not switch to LaunchBay for the branding or the automations, even though both are good. We switched because we were tired of being the ones who had to remember what was agreed six weeks ago. Now the platform remembers for us, and so does the client, because they are looking at the same timestamped record we are.
If you are running an agency and still relying on memory and email threads to prove what was agreed, that is the gap worth closing first. Everything else on this list is a genuine bonus on top.
